Can I ask my nutritionist questions before the initial consultation? If you have administrative questions you would like answered before your visit, we are happy to answer them. We want you to feel comfortable coming in for your visit. Please contact our Clinical Coordinator at info@rossnt.com Any diet or health related questions and concerns will be addressed during your visit, so the first time you will speak with your nutritionist will be during your initial consultation. Can I do in person and tele-health consultations?Sure! You are welcome to start with either option and continue care with either option. Providing of course, you live near our in-person locations! Please note, not all of our nutritionists have an in-person option.

How do I prepare for my initial consultation?Once you book your initial consultation, you will be set up on our HIPAA-secure client portal. There you will be guided to complete a series of intake forms including: Consent Forms A 3-day food, mood, and sleep journal Intake forms and questionnaires To ensure we are fully prepared for our time together, all of these items must be completed 48 hours prior to your scheduled appointment. You are also encouraged to upload or request copies of your recent labs for review. Why do we request your labs? Nutritionists review labs for their nutritional significance! Do you have insurance? If you are using health insurance, your plan may require a referral from your primary care provider (PCP) that includes the medical diagnosis/reason for your consultation. If this is a requirement of your plan, the referral will need to be received before booking your consultation. Please verify benefits so you are not surprised by any fees!

Why do you have so much paperwork? We understand it can feel like a lot. However, several of them are mandatory consent forms that are short, requiring a quick read and your signature. 😊 These forms are necessary for us to work with you and allow us to be most efficient in our time together during the consultation. We thoroughly review all your paperwork in advance of meeting with you. The more details you provide in the paperwork, the more time we can spend together focused on actionable steps of your health journey! If you don’t complete your paperwork 48 hours before your scheduled initial consultation, we will need to cancel / reschedule your visit.

Do I need to do follow-up consultations?YES! We have found that follow-up consultations are critical to the success of reaching your health goals! Developing new eating and lifestyle habits requires time. Support, accountability, and motivation can also be needed! With regular follow ups, we are also able to make the occasional changes to your plan that may be needed to help you continue your journey. The frequency of follow-up consultations can vary based on your health goals and/or medical diagnoses. For some clients, the frequency of follow-ups may depend on the number of visits they have covered by their health insurance plan. We do our best to meet our patients where they are relative to their health goals and design treatment plans that fit their lifestyles and financial budgets. When starting off, we find most people enjoy having a follow-up consultation every 1-3 weeks for approximately 4-6 months and then transition to follow ups every 1-3 months or as needed.

Do you offer any lab testing? There are some tests we are able to extend to our clients, depending on the state you live in. These tests will require an upfront payment. Your clinician will determine if these tests are needed to enhance our care to you. We proudly offer nutritional genomic testing, which can be added on to any service or package. These tests focus on genes that are influenced by diet and lifestyle, so we can further fine-tune your nutritional needs.

How does my tele-health visit with you occur?Telehealth embraces the use of technology to conduct consultations. We use HIPAA-compliant video conferencing that is linked to the electronic health record platform. A link to join the online consultation will be sent to you via email. Just choose that link at the scheduled time and you will be face-to-face with a member of our team. You will be required to have a computer, laptop, smartphone, or tablet and internet access to participate in telehealth consultations with our team members. We do find that it is best to be on a computer, laptop, or tablet rather than a phone. Having good lighting is also helpful. Please ensure you are in a private place when you meet for your consultation, such as your home or private office. We strongly discourage public places (I.e., coffee shops) where people can hear your personal details.

Do you take insurance?Yes, we participate with some insurance companies. Please see the insurance list for more information. We will submit the claim for our session(s) on your behalf. If your health insurance covers services, you won’t need to do anything. If your health insurance company denies the claim, or says that you owe money, you will be notified and invoiced accordingly. Our goal is for services to be covered in full, when possible, but coverage varies tremendously between plans and insurance companies. If we are not a participating provider with your insurance provider, clients are provided with a superbill that can be submitted to your insurance company for reimbursement, if your plan allows for coverage with an out-of-network provider. It is your responsibility to check with your insurance carrier to determine reimbursement eligibility. If we are not a participating provider, our office will not file claims on your behalf, nor will we be able to assist with any claim resolutions or disputes.

Why do you require to have a credit card on file if I am using insurance?Your credit card is only charged if you DO NOT show up for your visit, you cancel without providing a 24-hour notice, or your insurance plan has an unsatisfied deductible, co-pay, or co-insurance or a claim for services is denied by your insurance company. When using insurance, we bill the visit (when medically applicable) under the preventative side of your policy; therefore, most of the time, no co-pay or deductible needs to be met for our services. Your time is super valuable as is the time of our nutritionists. If you are a no-show for your visit or cancel without providing 24 hours notice, we can’t charge the insurance for a visit that didn’t occur nor are we likely to be able to fill the appointment slot. Therefore, we have a credit card on file to protect the nutritionist's time. In full transparency, this rarely happens. However, we treat all patients the same and require a credit card in the rare event it does. We will never charge your card for anything without letting you know first.
-
What forms of payment do you accept? We accept all major credit cards for all services offered and supplements purchased. Most HSA/FSA credit cards are also accepted for services only. Have insurance? We will bill your insurance company if we participate with your insurance plan. Co-pays and deductibles are due at time of service.
-
Do you have any discounts on your services? Our Team Nutritionists offer the best pricing options. Dr. Ross' services are billed at a higher rate. Choosing the 6 or 12 session follow-up consultation package provides a discounted follow-up rate for those who are paying cash rates or do not have insurance coverage for nutrition services.
-
Do you have payment plans for the packages?Sorry---unfortunately, we do not have payment plans.
-
Do you offer refunds? As a service based industry, refunds are not provided for services received or packages purchased.
-
What states do you see clients in?Due to varying state laws and regulations, we currently cannot work with clients in all states. View our locations and a list of states that we cannot provide care in.
